Hausly ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our property management platform (the "Service").
By using the Service, you consent to the data practices described in this policy. If you do not agree with these practices, please do not use the Service.
We collect information you voluntarily provide when using the Service:
When applying for a rental, tenants may provide:
When you use the Service, we automatically collect:
We use the information we collect to:
We do not sell your personal information. We may share your information in the following circumstances:
When a tenant applies for or rents a property, relevant information is shared with the landlord, including application details, payment history, and maintenance requests. Similarly, landlords' contact information and property details are shared with tenants.
Note: Sensitive information like full SSN is masked when displayed to landlords (only last 4 digits shown).
We share information with third-party service providers who help us operate the Service:
These providers are contractually obligated to protect your information and use it only for the services they provide to us.
We may disclose your information if required by law or if we believe disclosure is necessary to:
If Hausly is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
We may share your information for other purposes with your explicit consent.
Your mobile phone number and any information collected through SMS messaging (including opt-in status and messaging preferences) will not be shared with third parties or affiliates for marketing or promotional purposes. Mobile information is used solely to deliver the SMS notifications you have consented to receive and to manage your messaging preferences.
We implement appropriate technical and organizational measures to protect your information:
However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.
If a landlord requests a background check as part of a rental application, the screening is conducted by our third-party partner, Certn. Hausly initiates the request on the landlord's behalf, but the tenant completes identity verification directly on Certn's secure site. The tenant's SSN and identity documents are never transmitted through Hausly during this process.
Before a background or credit check can be run, tenants (and co-applicants) must provide explicit, standalone authorization pursuant to the Fair Credit Reporting Act (FCRA), 15 U.S.C. § 1681 et seq. This consent is collected separately from the general application certification. We record the timestamp of each consent for compliance purposes.
Hausly stores only category-level screening summaries (e.g., "Criminal: Clear," "Credit: Good range"). We do not store:
Landlords can view full screening details on-demand through Certn's secure platform. These report URLs are fetched in real-time and are never stored in our database. All access to screening information is logged.
If a landlord decides not to rent to an applicant based in whole or in part on information in a consumer report, they are required by the FCRA to provide a pre-adverse action notice and a copy of the applicant's rights. Hausly facilitates this process and provides the applicant with the name and contact information of the consumer reporting agency (Certn).
We retain your information for as long as necessary to provide the Service and comply with legal obligations. Specific retention periods:
If a rental application is rejected, sensitive personal data (SSN, driver's license, income, and co-applicant sensitive data) is automatically deleted 30 days after rejection. This 30-day period allows for completion of any FCRA adverse action processes. Non-sensitive data (name, email, contact information) is retained for record-keeping purposes.
When you delete your account, we will delete or anonymize your personal information within 30 days, except for information we are required to retain by law (such as financial transaction records for tax purposes, typically 7 years).
Incomplete application drafts are saved automatically to preserve your progress. Drafts are deleted upon successful submission or account deletion.
You can access most of your personal information through the Service. You may also request a copy of your data in a portable format by contacting us.
You can update most of your information directly in the Service. Contact us if you need assistance correcting other information.
You can request deletion of your account and personal information through the account settings or by contacting us. Deletion requests are processed within 30 days, subject to legal retention requirements.
